Grease Trap Inspection: The Three Kinds, and Who Does Each
"Grease trap inspection" means three different things depending on who is doing the looking. Knowing which one you're dealing with keeps expectations — and paperwork — straight.
1. The service-visit inspection
During a cleaning or pump-out, the crew works directly on the open device, so a competent provider can observe the parts of the trap nobody else sees: baffles, inlet and outlet fittings, flow control where fitted, covers and gaskets, and the general structure. The checklist at the top of this page is built around this moment — ask the provider to document what was inspected, what was not accessible, and anything that needs attention. 2. The regulatory inspection
Many wastewater authorities and municipal FOG programs check food service establishments for compliance. How often, and what gets checked, is set by each local program — commonly whether the device is being serviced on the required schedule or threshold, and whether the records prove it. Some programs measure accumulation on the spot. 3. The operator's own check
Between service visits, a manager's "inspection" is deliberately limited: observation from the outside, never opening equipment. The between-service checklist below covers what that safely includes.
The Measurement Behind Most Inspections: The 25% Threshold
The most common service trigger written into municipal FOG programs is a percentage, not a date: the device needs service before the combined depth of floating grease and settled solids reaches 25% of its total liquid depth. The City of Sioux City's wastewater plant publishes a worked example: 0.5 ft of floating grease plus 1.0 ft of settled solids in a device holding 4.0 ft of liquid works out to 37.5% — over the limit, so that kitchen must increase its pumping frequency.
Three cautions before treating that as your rule:
- It is not universal. Your local program may use a different threshold, pair the percentage with a fixed maximum interval, or set device-specific rules. The local ordinance controls.
- The measurement happens at the open device. That places it with trained, authorized people — typically the service crew or an inspector — not with kitchen staff. The life-safety warning at the top of this page applies.
- Both layers count. A trap can look acceptable from the top and still fail on settled solids. Ask your provider to record both depths, with units, at every service.

Between-Service Inspection Checklist for Operators
Everything on this list is outside-the-equipment observation. None of it involves lifting a cover, leaning over an opening, or entering anything — those hazards are documented in the OSHA bulletin cited below, and they are why untrained people stay away from open traps.
- Covers and lids, viewed from the outside: seated flat, undamaged, not shifting underfoot or under a cart. Report a loose or damaged cover the day you notice it, and keep people away from it until it's fixed.
- Odor: a persistent sewage or rancid smell near drains or the device that outlasts normal cleaning suggests the device or its lines need attention.
- Drains: more than one sink or floor drain running slow at the same time points toward the shared path — the trap — rather than a single clog.
- Ground conditions (outdoor devices): standing water, staining, or soft ground around the device's location is worth a same-week call to your provider.
- The log: entries are current, the last service date is recorded, and the last visit's measurements are written down with units.
- The file: every service visit has its paperwork, and the next visit is actually booked. An inspector's first questions are usually about records, not hardware.

Hiring a Grease Trap Inspection Service
Some operators book an inspection separate from a cleaning: after taking over a location, before signing a service contract, when drains misbehave right after a "completed" service, or when a notice from the wastewater authority arrives. Three questions do most of the work:
- "What exactly will you inspect, and what do I get in writing?" A useful inspection report names the components checked (covers, baffles, inlet and outlet, flow control where fitted), the measurements taken with units, and anything that was not accessible.
- "Are you licensed or approved to work on grease traps in this city?" Requirements vary by jurisdiction, and some cities publish approved-provider lists. Ask for the license or approval that applies where you operate, not a generic answer.
- "If you find a problem, do you also repair it, and how is that priced?" Knowing in advance whether you're buying an assessment, a repair pipeline, or both keeps the report honest.
Many cleaning providers include inspection as part of a service visit — often the practical route, since the device is already open and safely controlled.
